One thing we always request—ideally at least a week before your wedding—is a clear floor plan and seating plan. These are essential tools that help us deliver flawless service on your big day.
What are these?
A floor plan is a detailed layout of your venue. It shows the position of guest tables in relation to the top table, as well as key areas like the catering tent or kitchen, electricity and water access points, and the location of the bar or the kitchen on site. This allows us to map out service flow, avoid delays, and ensure your food is served hot, smoothly, and on time.
A seating plan lists each guest’s exact seat — especially important for a 3 or 4-course wedding breakfast. While many couples send it as soon as possible (which is ideal), last-minute guest changes are common—so it’s important to be flexible and prepared to make small edits even in the final days. This plan is crucial when guests have pre-ordered meals or have allergies and dietary requirements, some of which can be severe or involve complex combinations. With a seating plan, our service team can deliver the correct dish to each guest, safely and discreetly.
Can we avoid a seating plan?
For BBQ or buffet-style weddings, things are a bit more relaxed. We serve guests by the Bbq or service table, making the process simpler. Still, we ask you to inform us of any allergens or special dietary needs in advance, so we can prepare and label food appropriately and brief our team.
But for table service, accuracy is everything. Precise seating and dietary information allows us to run a professional, tightly coordinated service where nothing is left to chance.
Document Naming Tip for Easier Admin
To help us stay organised and avoid confusion—especially when working with multiple couples—please name any files you send clearly referring to your names and. the date of the event.
For example:

Including your names and wedding date in file names helps with record-keeping, accuracy, and communication, especially when dealing with detailed dietary requests like in James & Ines’ wedding (e.g. nut allergy, pescatarian, vegan).
So while it’s not the very first thing we ask, your floor plan and seating plan are absolutely essential—and the earlier we receive them, the better. They help us prepare, spot any issues in advance, and deliver the exceptional service you deserve.
