When it comes to planning an event, one of the biggest decisions you’ll face is choosing the right type of catering. Not all catering services are created equal, and prices can vary dramatically. Staffing Requirements

The number of staff required for your event also affects the cost, sometimes quite badly. Plated services and food stations need more servers and chefs compared to a buffet or drop-off catering. More staff means higher labour costs, which contribute to the overall price.

To be able to understand the differences, maybe a short summary of the different catering options will be helpful. 

Plated Service

In a plated service, guests are served individual meals at their tables. This form of catering is often used for formal events like gala dinners and weddings. It provides a more elegant and structured dining experience compared to a buffet. As all guests are served individually, this type of catering requires the most waiting staff. Many customers think (wrongly) that when the waiting staff level is added to the total, the hours are too many, the numbers are too high. In the meantime, those hours include staff’s travel time, their share in the preparations (unbox glassware, cutlery, crockery, setting tables, chilling drinks, keep the area tidy at all times, replace and refill drinks, ice, etc and the break down in the end, sorting glasses in crates.) 

Many hosts offer their help, or their adult children’s / family / friends’  help for that, not considering that professional waiting staff is essential for a flawless and professional service. They might not realize when to clear off something from a table, or when not at all. When our team gives a recommendation on the necessary staff levels, it is worth to accept it, as we would not want to chase you in unnecessary expenses unless our guaranteed high standards would not require so. (Therefore it is not unnecessary.)

 

Family-Style Catering

Family-style catering is a blend of self-service and plated service. Large platters of food are placed on each table, and guests help themselves. This creates a communal and relaxed atmosphere, making it ideal for family gatherings and casual weddings.

Staff levels are still relatively high for a Buffet or BBQ service, as it is still a seated meal. Waiting staff will refill your platters on request, and the rest of their job is the same as listed above. 

Buffet/BBQ Catering

It is not the case when it comes to BBQ or Buffet catering. These two are really the most common and versatile forms for an informal get together.  Guests serve themselves from a variety of dishes laid out on a long table (if buffet). This type is more popular for corporate events and large gatherings. It offers a wide range of options to cater to different tastes and dietary needs. Waiting staff here does not need to clear all cutlery and crockery between courses, therefore less members of staff is enough. They mainly handle the hot food and they serve guests from the meal they would like for health and safety reasons. But generally speaking, waiting staff here makes sure there is enough food in the chafing dishes, there are no dirty or unwanted glassware, cutlery and crockery all over the place.

Drop-Off Catering

Drop-off catering involves the caterer delivering prepared food to your event location. This is a convenient and cost-effective option for casual events like picnics, office lunches, or informal parties. Afternoon Tea or Cold Buffet are typically catering options that can come under this waiting staff free option.

You might ask: Hot food not? NOT! The reason is that we cannot guarantee the quality as we do not handle the food after delivery. Therefore we do not undertake orders like that. 

What else determines why do catering prices vary so much?

Event Size and Duration

The size and duration of your event will influence the catering cost. Larger events need more food and staff, driving up the cost. Similarly, if your event lasts several hours or spans multiple days, this will increase the price due to the extended service period.

For an example, let`s say you have got a wedding. Imagine when you come out of the ceremony, and will leave for taking photos etc., your guests will be hanging around, waiting for you to arrive. The main meal is usually still hours away from the end of ceremony.

So, what do you do? You will start with a drink reception and canapés, then later in the afternoon continue with a main meal (whatever it is) and in the evening you will have an evening meal served. This is a minimum of a 12 hour shift for our team, not necessarily including travel time, only preps, services and break down. 

Customisation and Special Requests

Prices can vary significantly based on the level of customisation and special requests. If you require a unique menu, themed presentation, or special dietary accommodations, these factors can increase the cost. Bespoke menus, oyster, lobster and extras like this will likely cost more than standard catering packages.

The quality of ingredients plays a major role in catering costs. Organic, locally sourced, or special ingredients are more expensive. If your menu includes high-end items like truffles, caviar, or premium cuts of meat, expect to pay a premium price.
